ABOUT THE PROJECT

SAFE, in partnership with UNDP/PAPP, is implementing the project: “Emergency Debris Management in the Gaza Strip 2026–2027.”

The project aims to enable humanitarian access and support early recovery through risk-managed debris removal, recycling, and safe disposal, while reducing public health and environmental risks and generating dignified short-term job opportunities for affected communities.

The intervention will support priority geographic areas north of Wadi Gaza, benefiting internally displaced persons, host communities, and affected populations through restored access corridors, safer public environments, and recovery-enabling recycled aggregates.

ROLE SUMMARY

SAFE is seeking a qualified Reporting Specialist to support project documentation, information management, data consolidation, and donor reporting under the Emergency Debris Management Project.

The Reporting Specialist will be responsible for preparing high-quality technical, narrative, and progress reports that clearly present project achievements, implementation progress, challenges, lessons learned, and recommendations. The position will work closely with the Project Coordinator, engineering team, field teams, MEAL staff, finance team, and relevant project functions to ensure that reporting is accurate, evidence-based, timely, and aligned with donor and organizational requirements.

The role requires strong writing, analytical, coordination, and documentation skills, with the ability to translate technical and operational information into clear, structured, and high-quality reports for internal and external use.

KEY RESPONSIBILITIES

  • Prepare high-quality weekly, monthly, interim, final, and ad hoc project reports in line with donor requirements, organizational standards, and project reporting timelines.
  • Compile, review, and analyze information received from field teams, engineers, Site Supervisors, Social Workers, Public Awareness Specialists, MEAL, finance, and project management.
  • Ensure that all reports are clear, well-structured, evidence-based, technically accurate, and supported by verified data and documentation.
  • Prepare technical and administrative reporting content covering project progress, achievements, outputs, challenges, deviations, corrective actions, lessons learned, and recommendations.
  • Consolidate quantitative and qualitative data related to debris removal activities, access restoration, field operations, awareness activities, community engagement, safety measures, and project indicators.
  • Support the development and regular updating of project tracking sheets, reporting databases, dashboards, and information management tools.
  • Ensure consistency between narrative reports, activity tracking tools, beneficiary or participant data, quantity records, financial inputs, and supporting evidence.
  • Coordinate with field, engineering, MEAL, finance, logistics, and project teams to collect, verify, and validate data and supporting documents required for reporting.
  • Support the preparation of indicator-based progress updates, achievement summaries, factsheets, presentations, briefing notes, and other materials for partners, donors, and management.
  • Maintain organized and up-to-date documentation, records, correspondence, reports, photos, field evidence, and reporting files related to project implementation.
  • Support internal and external audit processes by providing required documentation, reports, evidence, and data when requested.
  • Contribute to documenting success stories, case studies, good practices, field observations, and lessons learned in coordination with the project and communication teams.
  • Review and edit project documents to ensure quality, consistency, clarity, accuracy, and alignment with donor language and institutional standards.
  • Support monitoring and evaluation processes through data consolidation, analysis, presentation of findings, and follow-up on reporting-related recommendations.
  • Identify data gaps, inconsistencies, or reporting risks and follow up with relevant team members to address them in a timely manner.
  • Ensure confidentiality, accuracy, accountability, and proper handling of project information and sensitive data.
  • Perform any other relevant duties assigned by the Project Coordinator or project management team to support reporting quality and achievement of project objectives.

QUALIFICATIONS & REQUIREMENTS

  • Education: B.Sc. in Business Administration, Project Management, Development Studies, Economics, Statistics, Information Management, Engineering, English, or any other relevant field from a recognized university.
  • Experience: Minimum 5 years of relevant professional experience in reporting, documentation, information management, project support, MEAL, or donor reporting within humanitarian or development programmes.
  • Previous experience in internationally funded projects, UN-funded projects, emergency response, early recovery, infrastructure, debris management, or construction-related programmes is an asset.
  • Strong experience in preparing technical, narrative, administrative, progress, and donor reports in Arabic and English.
  • Excellent report writing, editing, analytical, and summarization skills, with the ability to present technical and programmatic information clearly and accurately.
  • Strong ability to analyze quantitative and qualitative data and link achievements to approved indicators, outputs, workplans, and project targets.
  • Good understanding of monitoring and evaluation concepts, reporting frameworks, indicator tracking, and evidence-based reporting.
  • Strong documentation, archiving, file management, and information organization skills.
  • Proficiency in Microsoft Office applications, especially Word, Excel, and PowerPoint; experience with data analysis or project management tools is an asset.
  • Ability to develop and maintain tracking sheets, databases, reporting templates, and consolidated progress updates.
  • Strong coordination and communication skills, with the ability to work effectively with multidisciplinary teams.
  • Ability to work under pressure, manage multiple reporting deadlines, and maintain high quality within tight timelines.
  • High level of accuracy, accountability, confidentiality, professional integrity, and attention to detail.
  • Excellent command of Arabic and English is required.
